Where a clinic’s time goes

In a private clinic, a large part of the day goes on work that is not clinical. Reception answers the same WhatsApp questions again and again. Someone phones patients to remind them about reviews, when there is time. Accounts staff tick M-Pesa and bank statements and insurer remittances against invoices. Payroll changes every time SHIF, NSSF or the Housing Levy rules move.

None of this needs a new hospital information system. It needs the systems you already have to do more of the routine.

What we do, and what we don’t

We do not sell a hospital information system. SHA, Kenya’s national health insurer, requires the facilities it contracts to run a certified health management information system, so keep the certified one you have. We build around it.

A WhatsApp agent for patients. It runs on the official WhatsApp Business API, answers questions about services, hours and directions, books and moves appointments, and sends reminders before visits and reviews. It does not give medical advice. When a patient asks something clinical, or simply wants a person, it hands the conversation to your front desk.

Reconciliation for cash, mobile money, banks and insurers. We automate the matching of Paybill and bank receipts to patient invoices, and track insurer payments against claims so the unpaid ones surface early, not at year end.

Statutory payroll and eTIMS. If you run Odoo, we set up payroll with SHIF, NSSF and Housing Levy deductions, and eTIMS invoicing and stock records for your pharmacy.

Training for your team. A practical half-day workshop shows reception, accounts and management staff how to use AI safely in their own work.

Patient data, handled carefully

Health data is sensitive personal data under Kenya’s Data Protection Act. We design for that from the start. Records stay in your systems. The agent reads only what it needs for the task in front of it. Phone numbers, emails and ID numbers can be masked before anything reaches an AI model, a safeguard built into the management agent we are piloting with a client. Every conversation the agent has is logged so you can review it.
