Why WhatsApp enquiries go unanswered
Your customers message at 9 pm, on Sunday, and in the middle of your busiest hour. Each message is a sale waiting for a reply. By the time someone answers the next morning, the customer may already have bought elsewhere.
Many WhatsApp chatbots in Kenya can only follow a menu: “Reply 1 for prices.” They can’t see your stock, so they can’t quote. They can’t take payment, so a person still has to step in.
What your agent will do
Here is how a conversation runs, start to finish:
- A customer asks whether you have a product in stock, in English, Swahili or a mix of both.
- The agent checks stock in Odoo and replies with the price from your price list.
- The customer says yes. The agent sends an M-Pesa STK Push to their phone.
- The payment is confirmed. The agent records the order and sends a receipt. If your Odoo issues KRA eTIMS invoices, the invoice goes out as a PDF in the same chat.
- Anything unusual, such as a complaint, a bulk order or a refund, goes to a person on your team with the conversation attached.
Built on the official WhatsApp Business API
We set the agent up on the official WhatsApp Business API, on your own number. That matters for three reasons:
- Your number is safer. Unofficial QR-code tools can get a number banned. The official API is how Meta expects businesses to automate.
- You can reach customers after 24 hours. WhatsApp only allows free-form replies within 24 hours of a customer’s last message. After that, you need approved message templates for order updates, payment reminders and appointment reminders. We set those up with you.
- Costs are visible. Meta’s fees for WhatsApp messages are passed through at cost, separate from our fee.

- A business phone number for WhatsApp.
- Your products or services, with prices and the questions customers ask most.
- Access to your systems: Odoo or your CRM, and your M-Pesa Paybill or Till. We help you set up the Daraja credentials.
- One person on your team who owns the agent’s rules and reviews its monthly report.
